Minor Project Request Requirements and Process

For minor IT project request submissions, University employees and requesting organizations will need to include (but are not limited to) the following information:

  • Name(s) of the project sponsor & product owner
  • The name of the functional owner of the product, service or system
  • Requesting department and division
  • Rationale for the project or procurement
  • How the request supports Stan State’s strategic priorities
  • Analysis of impact on resources (people, equipment)
  • Costs (one-time and/or annual; description of funding sources)
  • A preliminary list of requirements & deliverables
  • Proposed project dates (start, go-live, end) & milestones
  • List of vendors that have been/will be evaluated (if applicable)
  • How the success of the project or procurement will be measured

An IT project manager will be assigned to each minor project request. Review, approval, and prioritization of minor requests will be completed at the discretion of the AVP/CIO of OIT.

The approval of the AVP authorizes work to be done. The next steps are requirements for work to begin:

  • The request must be staffed (i.e., OIT project manager and OIT staff are assigned)
  • The request must be scheduled (i.e., OIT staff time has been blocked to accommodate for the project)
  • Funding for the request must be available (if funding is required)
  • The product owner and relevant customer stakeholders are available to actively work on the project or procurement within the designated time frame
